Types of data

AAU processes personal data as coordinator for the CEBE programme. The data about you that AAU processes will depend on your connection with CEBE but typically includes your name, address, e-mail, telephone number and occupation. We also take pictures at our events where you might be in the picture. Pictures are not taken without your prior consent.

While the majority of data is obtained directly from you, it may also be sourced from publicly available sources.

Purpose

We provide secretarial assistance for various collaborations. This involves tasks such as maintaining and updating partner and mailing list, organising meetings, promoting CEBE on and through various media platforms, and managing projects. To facilitate these secretariat duties, we process general personal data on members, employees, and board members. We also process personal data when handling project applications for funding. We process your personal data pursuant to art. 6 (1) litra e of the GDPR.

Storage

We store your data for as long as it is necessary for the purpose or purposes for which the data are collected. When it is no longer relevant to store your data in order to fulfil its purpose, the data will be deleted.

Your rights

According to the Data Protection Regulation, you have a number of rights with respect to AAUs processing of your personal data. If you want to make use of your rights, you must contact AAU’s data protection officer: dpo@aau.dk.

  • You have the right to request access, rectification or erasure of your personal data.
  • You also have the right to oppose the processing of your personal data and, in some cases, to have the processing of your personal data limited.
  • If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Your withdrawal will not have any impact on the lawfulness of the processing carried out prior to your withdrawal of your consent.
  • You are entitled to receive the personal data which you have submitted in a structured, commonly used and machine-readable format (data portability).
  • You can always file a complaint with a data protection supervisory authority, for example The Danish Data Protection Agency at dt@datatilsynet.dk.
